Locations

A location is one of your organization’s physical sites, such as a clinic, an office or a branch. Visits, opening hours and staff bookings all belong to a location. The Locations screen lists your organization’s locations and is where you add and change them.

Your organization starts with one location, set up together with the organization, and it is your primary location. Every location after that is added and managed by your organization here; Nightingale support can see your locations but does not change them.

Each row shows the location’s name, address, postal code, city, state and country, whether it is the primary location, whether it is active, and when it was created. Type in the search box to find a location by its name, street address, city or postal code.

From a row’s menu you can:

  • View the location (see Location details).
  • Set primary to make it your organization’s main location. Only one location is primary at a time, so the previous one stops being primary.
  • Deactivate a location you no longer use, or Activate it again. An inactive location keeps its history and still appears in the list, marked inactive.
  • Delete a location that was created by mistake, after you confirm. A location that has any visits cannot be deleted; deactivate it instead. Your primary location cannot be deleted either; make another location primary first. Deleting a location unassigns every staff member who worked there.

The status selector next to the search box shows all locations, only the active ones, or only the inactive ones.

Choose Create Location and fill in:

  • Name, as your staff and patients know it. Each location needs its own name; the name of a location you deleted can be used again.
  • The address: street lines, postal code, city, and the country and state. Pick the country first. The state list then shows that country’s states, provinces or regions.
  • The slot length, which is the length of one booking slot: 20, 30 or 60 minutes. Every appointment at the location starts on this grid and lasts one or more slots.
  • The time zone the location keeps its clocks in. It defaults to your browser’s. Opening hours, staff availability and appointment times at the location are all read in this zone, so set it to where the location actually is.

The second address line is optional.

Your plan limits how many active locations your organization can have: Essentials includes one, Professional five, and Enterprise the number in your contract. You can buy extra locations on top. The list shows how many are in use, such as 2 of 3 active locations in use.

When all of them are in use, Create Location is disabled and the screen says why, and an inactive location can’t be activated. Deactivate a location to free one up, or contact Nightingale for an extra location or another plan. Locations you already have keep working either way. See Plans and add-ons.

Viewing locations needs a role that allows it. Adding, changing, deactivating and deleting locations needs the permission to manage locations; without it, Create Location and each row’s menu are hidden.
