Visits
A visit is one encounter between a patient and your organization at a location, from the first request until the visit is closed. The Visits screens follow a visit through its life. They work on the location chosen as your workspace in the sidebar.
| Screen | Shows visits that are | What you do there |
|---|---|---|
| Requested | asked for, without a date yet | Schedule them, start them, or cancel them |
| Scheduled | booked for a date, and often a time and a staff member | Start them when the patient arrives, reschedule them, or cancel them |
| Active | in progress | Open one to work on it, or start a walk-in |
| Closed | finished: closed or cancelled | Review them, reopen one, or request a follow-up |
Opening a visit shows the visit page, where the clinical work happens.
A visit’s life
Section titled “A visit’s life”- Requested: someone asks for a visit on a given date, and records why.
- Scheduled: the visit gets a date and, optionally, a time slot and a staff member. A staff member can’t be booked for two visits at the same time. A scheduled visit can be rescheduled.
- In progress: the patient has arrived. A walk-in starts here directly.
- Closed: the documentation is signed off and the patient has been discharged.
A requested or scheduled visit can be cancelled from its list. Cancelled visits are listed under Closed. The visit page has no Cancel button, so a visit that has already started can’t be cancelled from these screens. If a visit was cancelled or recorded as a no-show by a connected system, its timeline shows that. A closed or cancelled visit can be reopened, with a reason, to correct it.
Every step is recorded in the visit’s timeline, with who did it and when.
Who sees what
Section titled “Who sees what”Each list, and each action on it, needs its own permission: requesting, scheduling, starting and working on active visits, closing, and reopening. Every list also needs permission to view visits. You only see the lists and buttons your roles allow; if a button you expect is missing, ask whoever manages roles in your organization.
With permission to view visits you can see the visits of every location. Changing a visit, other than requesting one, also needs your permission at the visit’s own location: you must be assigned to that location, and the permission must not be switched off for you there. Otherwise the change is refused with a message saying you cannot do it at that location.
Patients see their own visits in the patient app, with fewer details than staff see.
