Documents are PDFs of one visit or one lab test: a Visit Report, a Prescription, or a Lab Report. Every plan includes them.

Document Where to generate it Available once
Visit Report: a summary of one visit Generate on the visit’s top bar the visit is closed
Prescription for one visit Generate on the visit’s top bar the visit has a prescription
Lab Report for one lab test Lab Report in the test’s details the test is fulfilled

Generating a document opens it in a new tab. The PDF layout follows your organization’s template for the visit’s location or country, in that template’s language. Your organization manages its own templates on the Document Templates screen; what a template can print is listed in the Document Template Reference.

Each document holds what you can see. Records you cannot see are left out, and a whole section you are not allowed to see, such as observations or prescriptions, is left out entirely rather than shown as empty, so a missing section never reads as “nothing recorded”. Two colleagues may get different documents for the same visit.

The clinician named in the header needs only the staff directory: with it you get their name, phone and medical ID, and their email only if you can also view users. Without the directory the header leaves the clinician out.

If nothing you can see has changed since your last document of that kind, generating again gives you that same document instead of a new one.

If your organization has no active template for the document, or its template cannot show this particular visit or lab test, the document is not generated and you are told so. Ask an administrator to switch on or correct the template on the Document Templates screen.

The visit page has a Documents section, and a lab test’s details have a Documents list. Both show every document generated for it, newest first, with who generated it and when. A document marked Superseded has a newer one of the same kind by the same person.

Only the person who generated a document can download it, and only while they can still see everything in it: if they lose a permission one of its sections needed, its download button is disabled. Which locations you work at makes no difference to what a document contains or who can download it. Everyone else sees the document listed but generates their own.

A download opens a link that works for a few minutes; choose download again to get a new one. Documents are kept; they cannot be deleted.

  • A Visit Report needs permission to view visits and the patient.
  • A Prescription needs permission to manage prescriptions and to view the patient.
  • A Lab Report needs permission to view lab results and the patient.

The buttons only appear for the documents you are allowed to make. Anyone who can open the visit or the test sees its Documents list.
